POSITION SUMMARY

Clerical Specialist Senior, under general supervision of the designated supervisor perform a variety of moderately complex clerical functions directly related to the department in which the position is located.

DUTIES AND RESPONSIBILITIES

  • Assist the public in activities relevant to the department such as completing and filing applications, registering to vote, collecting of fees, etc.
  • Provide information to the public and other County departments when information requested is specifically provided and known, such as from published records, specific directories and procedures and calendar of events.
  • Review forms, folders, and/or automated file printouts of information for completeness and accuracy according to standards established for the particular work unit.
  • Enter retrieves and research material from manual and/or automated files. Responsible for file maintenance.
  • Answer telephone, transfer calls, and take messages.
  • Open and distribute mail; prepare outgoing mail.
  • Make copies and assemble materials for distribution as necessary.
  • Type file labels, forms, and other materials requiring basic typing and word processing skills.
  • Assist in training less experienced clerical staff.
  • Perform minor bookkeeping, timekeeping and personnel related functions.

WORKING CONDITIONS

  • All essential duties are performed indoors.
  • Duties are performed in a temperature-controlled environment.
  • Duties are performed on an even surface, which may be carpeted or tile.  Working surface is typically dry.
  • Workers often works along with general direction from supervisor.

EQUIPMENT, TOOLS, AND MATERIALS

  • Equipment typically used in the performance of office duties include telephone, computer terminal, computer printer, computer keyboard, typewriter, photocopy machine, fax machine and calculator.
  • Materials and products handled include files, forms, reports, various other paperwork, and a wide variety of basic office supplies.
